Handling and Preserving Documents
Documents play a pivotal role in legal and investigative processes, making their proper handling and preservation crucial.
Here are essential guidelines to safeguard their integrity:
1. Gentle Handling: Treat documents with care, wearing gloves to prevent contamination from skin oils.
2. Transparent Envelopes: Store documents in transparent envelopes to protect them from physical contact and environmental factors.
3. No Alterations: Avoid cutting, tearing, trimming, or making new folds. Such actions can damage valuable evidence.
4. Preserve Original State: Refrain from exposing documents to sunlight, moisture, or chemicals, as these can cause irreversible damage.
5. Xerox Copies: Use Xerox copies for investigations to avoid further wear on the original documents.
6. Minimal Attachment: Avoid pinning or punching holes. If needed, use clips instead of damaging methods.
7. No Erasing or Labels: Never touch documents with any type of eraser or apply labels with gum.
8. Non-Intrusive Markings: If necessary, make non-intrusive markings like initials, dates, or identifying marks.
9. Investigator Neutrality: Investigating officers should avoid making any additions or underlines on disputed or standard parts.
10. Protection for Torn Documents: Use transparent adhesive tape to protect partly torn documents from further damage.
11. Clear Marking: Clearly label portions for examination with identifiers like Q1, Q2, etc., on questioned documents, and their corresponding marks on standards as S1, S2, etc.
12. Proper Packaging: Pack documents in clean, paper/cloth-lined/cellophane covers to prevent physical harm during storage or transportation.
13. Handling Charred Documents: If dealing with charred documents, handle them carefully and place them in a suitable cardboard box for transportation.
By following these guidelines, the authenticity and integrity of documents can be preserved, ensuring their value as evidence remains intact.
